How Net Work Hours Are Calculated
Gross Shift = End Time − Start Time (+ 24h if overnight)
Net Hours = Gross Shift − Sum of all unpaid break durations
Gross Pay = Net Hours × Hourly Rate
Net Hours = Gross Shift − Sum of all unpaid break durations
Gross Pay = Net Hours × Hourly Rate
Decimal Hours vs HH:MM
Payroll systems almost always use decimal hours. Divide minutes by 60: 7h 30m = 7.50, 8h 15m = 8.25, 6h 45m = 6.75. Use the decimal figure when filling out timesheets or calculating pay.
Overnight Shifts
If your shift crosses midnight (e.g., 10:00 PM to 6:00 AM), select "Yes — ends next day." The calculator adds 24 hours to the end time before computing the difference, giving an accurate 8-hour result instead of a negative number.
What counts as paid vs unpaid time? +
Under the FLSA: Short rest breaks (under 20 minutes) must be paid. Meal breaks (30+ minutes) where the employee is completely relieved of duties may be unpaid. On-call time may be compensable depending on how restrictive the on-call conditions are. Travel time to the first job site (not commuting) may be paid. Training, orientation, and mandatory meetings are generally paid time.
How do I track hours worked accurately? +
The most reliable methods: (1) Time clock systems that record punch-in/punch-out automatically; (2) Mobile apps like Toggl, Clockify, or Harvest; (3) Manual logs in spreadsheet or paper; (4) Project management tools that integrate time tracking. Federal law requires employers to keep accurate records of hours worked for at least 2 years for non-exempt employees.
